Client Services Director


For Association Management Clients:

  • Act as primary interface with client and be the “face” of Manifest Creative to client

  • Maintain collaborative working relationship with Administrative Manager who is providing financial, administrative and other services to client

  • Financial Administration:  Collaborate with COO on all financial administration
    o  Interface with client’s Board Treasurer and respond to inquiries/requests
    o  Prepare annual budget and monitor client’s monthly performance to budget

  • Client / Board ofDirectors / Committee Support Services
    o  Prepare Client / Board / Committee meeting agendas
    o  Attend Client / Board / Committee meetings and events; write detailed and comprehensive meeting minutes; capture action items and track completion of deliverables
    o  In cooperation with board leadership, draft, suggest, edit and monitor compliance of client policies, procedures, processes and related documents (i.e. corporate partnership agreements, event process checklists, conference speaker agreements, etc.)
    o  Monitor Board compliance to IRS, federal and state regulations for 501(c)3 groups

  • Manage and execute clients’ scopes of work, track and coordinate deliverables with team members

  • INTERIM DUTIES (until Administrative Manager is hired)

    • Membership Services
      o  Manage data base of all members
      o  Invoice membership renewals
      o  Track various membership levels
      o  Communicate administrative issues to members

    • General Administration
      o  Answer phones, reply to incoming e-mails
      o  Prepare and mail snail-mail communications
      o  Maintain client supplies, to include stationery, badges, office supplies, et al
      o  Maintain client files—electronic and paper

    • Board of Directors / Committee Services
      o  Manage data base on Board/Committee members
      o  Manage logistics for Board member elections and/or committee nominations/selection

For Conference and Event Clients:

  • Act as primary interface with client and be the “face” of Manifest Creative to client

  • Prepare comprehensive Project Plans 
    o  Include budget, timeline and all deliverables
    o  Obtain signed agreement with client before Manifest Creative work begins

  • Provide input for prospective conference or event facilities

  • Organize programs presented during conference or event
    o  May include writing scripts, using client-provided information
    o  Incorporate timelines into programming, to assure compliance with established conference schedule

  • Liaise with Host or Planning Committee
    o  Develop attendee pricing structure, conference theme, communications profiles
    o  Review agenda and timelines
    o  Identify award recipients, if any, and direct Event Manager to obtain awards 

  • Attend all client events or conferences

  • Manage and coordinate exhibitor logistics, in collaboration with Event Manager, prior to event or conference, and manage exhibitors on-site during event or conference

  • Manage professional photographer, if one is requested by client, OR coordinate with client to produce social-media photos 

  • Provide suggestions to COO on social media support that will improve the event

  • Work closely with Events Manager and provide supervision on following tasks:
    o  Develop collateral materials
    o  Provide PR and other marketing/communications support
    o  Develop wrap-up information for client 

For Manifest Creative:

  • Develop new client relationships, working in collaboration with CEO
