Manifest Creative is hiring for the following position(s).
DUTIES & RESPONSIBILITIES
- Answer phones, return messages for all clients and Manifest Creative
- Monitor and manage client e-mail inboxes, reply to incoming e-mails; keep Account Management Team apprised of priorities and key actions/outcomes; compiling and maintaining list of FAQs and standardized responses
- Organize and manage database(s) and contact lists for Manifest Creative and clients; provide support in database management and maintenance
- Manage and maintain client data, run reports (current and historical) as requested
- Create Basecamp to-do lists for various client projects, track and manage lists, checking off when tasks are complete
- Maintain Manifest Creative and client files and records—electronic and paper; improve and maintain efficiencies, including trips to HQ and storage unit to file documents or retrieve items
- Maintain and manage client storage units, in collaboration with account team
- Interface with vendors and suppliers for office and client services
- Run errands, pick up mail at post office box and/or clients’ offices, make bank deposits, etc.
- Serve as purchasing agent for supplies as needed, including office equipment, stationery, badges, awards, supplies, etc. for Manifest Creative and clients
- Provide meeting/event planning for and on-site support at client events and meetings, as needed
- Attend client meetings, draft meeting minutes, set up meeting rooms and manage on-site technology during meetings, as needed
- Support Account Management Team with board/client communications, meeting preparation (agendas, slide decks, meeting packets, etc.), sending meeting notices / invites and carrying out action items as needed; support with post meeting/event tasks as needed
- Provide support with preparation and sending out of email, including e-blasts, and snail-mail communications
- Provide support with onboarding (and off boarding) new clients, board members, committee members, etc.
- Provide Executive Assistant support to Manifest Creative team and client leadership, including maintaining calendars, scheduling meetings and events, making travel arrangements, compiling expense reports, etc.
- Provide support to team, including bookkeeper, on financial tasks, such as deposits, printing checks, pulling reports, reconciliations, membership invoices, tracking, follow ups, maintaining budgets, etc.
- Track and document all client income and expenses and follow up on outstanding payments from events / meetings
- Provide support to Account Management Team in gathering documents and materials required by CPA in preparing client’s 990 report
- Provide support to Account Management Team on other account tasks and actions as requested / needed
- Other duties as assigned
LOCATION
Hybrid position with minimum of one day per week work in-person at our client office in Deer Park; remainder of the time is mostly remote/virtual. Ideal candidates located in Houston/Deer Park area; may require time in Sugar Land office, as well
SKILLS, KNOWLEDGE AND EXPERIENCE
- Minimum of 3 – 5 years experience as an office manager, administrative and/or executive assistant; basic accounting
experience required; work experience related to non-profits and/or associations preferred - High school diploma required; bachelors degree preferred

- Other Microsoft applications, such as OneDrive, OneNote, Azure etc.
- Familiarity and experience with Zoom, other virtual event platforms, DropBox (file sharing / storage), Basecamp (project management), Your Membership, GrowthZone, and database management software a plus
- Ability to create and maintain records/file systems in an organized fashion that allows easy access and retrieval
- Knowledge and competency in multiple office applications, including but not limited to:
- Extremely organized, detail-oriented and precise; ability to demonstrate the use of these skills in previous positions
- Exceptional listening skills; can follow verbal directions with minimal support and deliver accurate product / outcome
- Flexible and adaptable to continuously changing circumstances
- Able to perform under tight deadlines and keep multiple balls in the air
- Stays calm in the midst of chaos
- Switches quickly from one task to another; ability to track tasks (completed and outstanding)
